QuickBooks Essentials Pricing 2026: $85 a Month

September 2026 · 8 min read · by the Earnly team

QuickBooks Online Essentials costs $85 a month at list price in the US, or $1,020 a year. New customers can take 50% off for the first three months ($42.50 a month) or a 30-day trial, one or the other, so the first year costs $892.50 with the discount. Essentials includes 3 users plus 2 accountant seats, and sits between Simple Start at $38 and Plus at $140. The list price was $75 until Intuit's August 2026 increase.

Figures on this page were read from quickbooks.intuit.com/pricing on September 22, 2026. If you are a creator or online seller weighing Essentials mainly to see what each platform pays you, Earnly's income board shows gross, fees and take-home per platform from $12 a month billed yearly, and we explain below when that makes the higher QuickBooks tiers unnecessary.

QuickBooks Essentials pricing in 2026

PlanList price a monthFirst 3 months with discountYear one with discountEvery year afterUsers
Simple Start$38$19$399$4561
Essentials$85$42.50$892.50$1,0203
Plus$140$70$1,470$1,6805
Advanced$340$170$3,570$4,08025

Year one with the discount is three discounted months plus nine at list price. If you pick the 30-day trial instead, the first twelve months of Essentials cost $935: one month at no charge, then eleven at $85. The discount saves $127.50 against $85 for the trial month, so on Essentials it is the better deal by $42.50. Prices are per company and exclude sales tax. Payroll is a separate subscription on top.

How much did QuickBooks Essentials go up?

Essentials rose from $75 to $85 a month, a 13.3% increase, for subscriptions renewing on or after August 1, 2026. Simple Start stayed at $38. Plus went from $115 to $140 and Advanced from $275 to $340. Intuit told accountants that new clients got six months of price protection, with the new rate starting at the seventh invoice.

You may also see a bigger number quoted. Essentials was $60 a month before an earlier increase, and some long-standing subscribers were still billed near that legacy rate; measured from $60, the move to $85 is 41.7%. Both percentages are true, they just describe different subscribers. What matters for a decision today is that Intuit's pricing page now shows $85, and that is what a new account pays from month four.

A few comparison articles still list Essentials at $55 or $75. Those are old list prices. If a page quotes Essentials at $55 and Plus at $85, it predates at least two increases and none of its cost math will hold.

What you get with QuickBooks Essentials

Essentials is Simple Start plus the features a business needs once more than one person touches the books. Intuit's plan card and comparison grid list:

  • 3 users and 2 accountant seats, against 1 user on Simple Start.
  • Enhanced reports, above the general business reports on Simple Start.
  • Time entry and employee time on invoices, for billing hours to clients.
  • 3 connected sales channels, where Simple Start connects 1.
  • Third-party data in KPIs and dashboards, and lead capture from a form on your website.
  • Everything in Simple Start: invoicing, bank feeds, receipt capture, sales tax tracking, mileage and bill pay.

What Essentials does not include is just as important for the buying decision. There is no inventory tracking, no purchase orders, no budgets, no project profitability and no class or location tracking. All of those start at Plus. That list is the real dividing line on the QuickBooks ladder, and it is why the jump from Essentials to Plus is $55 a month.

Is QuickBooks Essentials worth it over Simple Start?

Essentials is worth the extra $47 a month over Simple Start when a second or third person needs their own login, or when you bill clients by the hour and want time entries to flow onto invoices. It also makes sense if you sell through two or three channels that you want connected to QuickBooks at once.

For a solo owner who invoices clients and reconciles one or two bank accounts, Simple Start at $38 does the job. The $564 a year difference buys seats and time billing, and neither helps someone working alone. If two people really do the books, though, give each a login: shared credentials make it impossible to see who changed what.

Essentials or Plus: which one do you need?

Pick Plus only if you need something on this list: inventory you want QuickBooks to value, profit by project, budgets, class tracking, more than three users, or more than three connected sales channels. Otherwise Essentials covers the same bookkeeping for $55 a month less. Our full QuickBooks Online Plus pricing page breaks down what that tier adds and the $200 jump to Advanced when you pass five users.

There is one upgrade reason we would push back on. Creators and online sellers often move to Plus because they want revenue split by platform, and class tracking is how QuickBooks does that. It works, but you tag every deposit, and a deposit is already net of fees, so the class shows what landed in the bank, not what YouTube, Etsy or Shopify kept. An income tracker reads the payouts themselves. Essentials at $85 plus a multi-platform income tracker at $12 comes to $97 a month against $140 for Plus, and you see fees per platform, which class tracking cannot show.

What a year of Essentials actually costs, three setups

SetupWhat you pay forYear oneEvery year after
Two-person consultancy billing hoursEssentials with the 3-month discount$892.50$1,020
Shopify and Etsy seller, owner plus bookkeeperEssentials, 2 of 3 channel slots used$892.50$1,020
Creator paid by YouTube, Patreon and brand deals, wants per-platform incomeEssentials plus Earnly Solo, billed yearly$1,036.50$1,164

The third row is $516 a year cheaper than putting the same creator on Plus at $1,680, and it answers the question that made them look at Plus in the first place. Payment processing, payroll and any apps you add are separate from all three.

Is there a cheaper alternative to QuickBooks Essentials?

Yes, if you do not need what keeps people on QuickBooks. Zoho Books Standard is $20 a month with 3 users, the same seat count as Essentials. Wave Pro is $19 a month for a solo service business, and we price a full year of it against QuickBooks in Wave vs QuickBooks cost. Xero's entry plan is $25 a month today and rises to $27 on October 1, 2026, with unlimited users.

QuickBooks keeps real advantages that justify part of the gap. It has native US payroll, free Intuit connectors for Shopify, Amazon and eBay on any paid plan, and almost every US accountant already works in it. If those matter to you, $85 is a fair price. If they do not, our QuickBooks alternatives page lays out the cheaper routes plan by plan.

How to pay less for QuickBooks Essentials

Take the three-month discount rather than the trial. It saves $127.50 against $85, and you can still cancel if the product does not fit.

Ask your accountant before you sign up. Firms in Intuit's accountant program can bill client subscriptions through the firm, often below retail list price.

Start on the tier you need today. Intuit lets you upgrade between Simple Start, Essentials and Plus without losing data, so there is no penalty for starting at Essentials and moving to Plus the month you actually take on inventory.

Clean up history before the clock starts. If you are moving months of old transactions in, bank feeds usually reach back only so far. You can convert PDF bank statements into QBO files and import the older months, which beats typing them in during the three months you are paying the discounted rate.
