QuickBooks Online Advanced Pricing 2026: $340

QuickBooks Online Advanced costs $340 a month at list price in the US, or $4,080 a year. New customers can take 50% off for the first three months ($170 a month) or a 30-day trial, one or the other, so the first year costs $3,570 with the discount. Advanced includes 25 users plus 3 accountant seats, unlimited class and location tracking, custom user roles, workflow automation and batch invoicing, and since August 2026 it bundles Bill Pay Elite. The list price was $275 before Intuit's August 2026 increase.

Figures on this page were read from quickbooks.intuit.com/pricing and Intuit's Advanced product page on September 25, 2026. If you run a multi-channel store or a creator business and the thing pushing you toward Advanced is reporting revenue by channel or by creator, Earnly's income board may cover that part for far less, and we say below exactly when it does not.

Year one with the discount is three discounted months plus nine at list price. If you take the 30-day trial instead, the first twelve months of Advanced cost $3,740: one month at no charge, then eleven at $340. On Advanced the discount saves $510 against $340 for the trial month, so it wins by $170. Prices are per company and exclude sales tax. Payroll is a separate subscription on top of every plan.

How much did QuickBooks Advanced go up?

Advanced rose from $275 to $340 a month for subscriptions renewing on or after August 1, 2026, an increase of 23.6%. In the same change Essentials went from $75 to $85 and Plus from $115 to $140, while Intuit's announcement says pricing for QuickBooks Free, Lite, Ledger and Simple Start remained unchanged.

You will also see "Advanced jumped 70%" in headlines. That figure is real but it measures from $200, an earlier Advanced list price that some long-standing subscribers were still paying. From $200 to $340 is 70%; from the $275 list price most businesses were on, it is 23.6%. Intuit also told recent subscribers their price would hold for the first six months of the subscription, so a business that signed up just before the change moves to $340 later than a renewing one.

What you get with QuickBooks Online Advanced

Advanced is Plus with the ceilings removed and the controls a larger team needs. From Intuit's plan card and comparison grid:

  • 25 users and 3 accountant seats, against 5 users and 2 seats on Plus.
  • Unlimited class and location tracking. Plus caps you at 40 values.
  • Custom user roles and permissions, so a sales rep can see invoices and estimates and nothing else. Plus has basic permissions only.
  • Workflow automation and batch invoices and expenses, both Advanced only.
  • 12 custom fields, against 4 on Essentials and Plus.
  • Enhanced project profitability, above the basic version on Plus.
  • Backup and restore, and Priority Circle support and training.
  • Bill Pay Elite included, with free 1099 e-filing and bill approval workflows. Standard ACH over the monthly allotment is $0.50 a transaction.

The Bill Pay Elite bundle is the part most articles miss. Intuit describes it as a $540 a year value and sells it as a $45 a month add-on on the lower plans. If you were already paying for it on Plus, your real step up to Advanced is $155 a month, not $200.

The sixth-user cliff: when Advanced is a seat purchase

Plus includes 5 users and there is no way to buy a sixth seat on it. So the day a sixth person needs a login, the bill goes from $140 to $340 a month, $2,400 a year for one more seat. That is the single most common reason small companies land on Advanced, and it is worth checking honestly who needs their own login. Accountant seats do not count toward the limit, and an outside bookkeeper who works in the file through an accounting firm login uses one of those seats, not a user.

If you genuinely need 6 to 25 people inside the books, Advanced is priced fairly against what it replaces. If you need 6 people and nothing else Advanced adds, other ledgers price seats very differently. Xero includes unlimited users on every plan, and Zoho Books Premium at $70 a month includes 10.

Is QuickBooks Advanced worth it for multi-channel sellers and creator businesses?

This is where we see the upgrade bought for the wrong reason. A brand selling on Shopify, Amazon and Etsy, or an agency managing several creators, hits the 40-class cap on Plus and moves to Advanced to split revenue by channel, product line or creator. That works, but classes are applied to deposits and deposits are already net of platform fees, so the report shows what landed, not what each platform grossed and took.

The honest limits of that route: if you need more than 5 people in the ledger, custom permissions for staff, bill approval workflows or batch invoicing, those are Advanced features and Earnly does not replace them. What sits above Advanced

Intuit sells two products for businesses that outgrow Advanced. Intuit Enterprise Suite is a multi-entity ERP aimed at companies with several legal entities or heavy project costing, and it is quoted rather than listed. QuickBooks Desktop Enterprise scales to 40 users for businesses that want desktop software. Neither publishes a self-serve price on the online pricing page, so a business at that size should expect a sales call. For most companies under 25 users, Advanced is the top of the practical ladder.

How to pay less for QuickBooks Advanced

Take the three-month discount rather than the trial. On Advanced it saves $510 against $340, the largest gap of any plan.

Count Bill Pay Elite before you compare. If you pay $45 a month for it today, it goes away on Advanced and the real upgrade cost falls to $155 a month. If your payables have outgrown what Bill Pay Elite handles, with multi-level approvals across departments and hundreds of invoices a month, dedicated accounts payable automation is usually a better fit than paying for more QuickBooks.

Ask your accountant about wholesale billing. Firms in Intuit's accountant program can bill client subscriptions through the firm, often below retail list price. At $4,080 a year, one email is worth sending.

Audit your user list first. Former staff, a shared admin login and an outside bookkeeper using a user seat instead of an accountant seat are the usual reasons a team looks like it needs six logins when it needs five.
