The honest read

Xero is one of the few accounting products where the monthly price is close to the real price, because it never charges per user. The catches are elsewhere: a hard monthly invoice cap on the cheapest plan that also counts invoices your connected apps create, a payroll add-on that scales with headcount, and an October 2026 increase that also ends the multi-organization discount for anyone running two or more sets of books. The increase is 8% on Early, 7.3% on Growing and 7.8% on Established, and Xero says it shows on invoices from October 1 for new and existing US subscribers. Promo codes you already hold keep applying to the new price until they expire. The multi-organization discount does not: Xero is phasing it out from the same date.

Xero's footnote says the Early invoice limit applies to both approving and sending invoices, and that transactions initiated by app partners may automatically count toward it. If a connected store or payment app writes sales into Xero as invoices, those use up the 20 too.

The per-user column is where Xero wins. A business with a bookkeeper, an assistant and an owner in the file pays $59 on Xero Growing against $85 on QuickBooks Essentials, and adding a fourth person costs nothing on Xero but means QuickBooks Plus at $140.

How much Xero really costs in a year

At the new prices a full year of Xero is $324 on Early, $708 on Growing and $1,164 on Established. Against the old prices that is $24, $48 and $84 more a year. Those are the numbers to budget with, because Xero applies the change to existing subscribers from October 1 rather than holding current customers at the old rate.

Xero is also running a new-customer offer on its US pricing page: 90% off the first six months, which shows as $2.50, $5.50 and $9 a month, for anyone buying their first organization by September 30, 2026. Its update notice says existing discounts keep applying to the new price until they expire, so the discounted months may bill at 10% of $27, $59 and $97 instead. Either way the saving is real for the first half year, then the plan renews monthly at full price. Check the page for whatever offer is live when you sign up; promotions change and we would rather you read the current one than trust ours.

Costs outside the plan price are the ones people miss. Payroll is an optional $36 a month plus $6 per employee or contractor, so a five-person payroll adds $66 a month. Online invoice payments carry processing fees. Cross-border and international bill payments carry fees, while standard domestic ACH bill payments are included on every plan. Inventory Plus is a separate add-on on Growing and Established.

The October 1, 2026 Xero price increase, in plain numbers

Xero's own update page lists the change as Early $25 to $27, Growing $55 to $59 and Established $90 to $97, taking effect for new and existing US subscribers from October 1, 2026 and showing on invoices from that date. Percentage-wise it is 7% to 8% across the board, which is modest next to QuickBooks, where Intuit took Essentials from $75 to $85, Plus from $115 to $140 and Advanced from $275 to $340 for renewals from August 1.

The part most price-change articles skip is the second line of Xero's notice: the multi-organization discount is being phased out from the same date. Promo codes still apply until they expire, but the discount for running several organizations will no longer be applied to eligible subscriptions. That lands on exactly the people who tend to hold several Xero files: an owner with an operating company and a holding company, a creator with a separate LLC for a second brand, or a seller who keeps each storefront in its own entity. Two Growing organizations now cost $118 a month with no multi-organization reduction. If that describes you, check whether both entities really need a full ledger, or whether one can be tracked lighter.

Xero Early, Growing or Established: which plan to buy

Buy Early if you send fewer than 20 invoices and enter fewer than 5 bills a month, and nothing connected to Xero creates invoices on your behalf. A freelancer with a handful of retainer clients fits. A creator billing four brand deals a month fits. A store whose sales app posts each order as an invoice does not, and will hit the cap in the first week.

Buy Growing if you cross either cap or want bank transactions to auto-reconcile. For most small businesses it is the real entry plan, and at $59 with unlimited users it is the cheapest way in this category to put an owner, a bookkeeper and an accountant in the same file.

Buy Established if you invoice or get paid in more than one currency, bill project time and costs to clients, or reimburse staff expenses and mileage. The 180-day cash flow forecast and industry benchmarking come with it, but those three features are the usual reasons to pay the extra $38 a month over Growing.

Xero vs QuickBooks on cost

On price alone the answer depends on headcount. A solo owner who only needs one login pays $38 for QuickBooks Simple Start against $27 for Xero Early, but Xero's 20-invoice cap is tighter than anything on Simple Start, so the fair comparison for an active business is often Simple Start against Growing, $38 against $59. Add people and Xero pulls ahead quickly. QuickBooks Essentials is $85 for 3 users and Plus is $140 for 5, with no way to buy a single extra seat. Xero Growing at $59 has no user limit at all. Where QuickBooks still wins is the free Intuit marketplace connectors for Shopify, Amazon and eBay, its own payroll, and the fact that most US accountants learned on it. What Xero does not show a creator or online seller

Xero is a double-entry ledger and a good one. What it records from a bank feed is the deposit: the $412 that arrived from a platform, not the $488 the platform collected or the $76 it kept in fees. Stripe, Shopify and a few others have Xero integrations that post more detail, and our Stripe Xero integration guide covers the options. YouTube, Twitch, Patreon, Etsy, Gumroad and most creator platforms have no such feed, so their income reaches Xero as a single net number.

How to pay less for Xero

1. Check your invoice count before paying for Growing. If you send 12 invoices a month and no app creates invoices for you, Early at $27 covers you and saves $384 a year against Growing.

2. Ask your accountant or bookkeeper. Firms in Xero's partner program can often set up and bill your subscription through the firm, which can beat the public price. One email is worth sending before October 1.

3. Count your organizations. With the multi-organization discount going away, a second entity that only needs income tracking may not justify a second full Xero subscription.

4. Stop importing statements by hand. When a bank or card has no Xero feed, people key it in. You can convert the PDF bank statement to a CSV file and import that instead, which keeps even the $27 plan workable for an account Xero cannot connect to.
